How Many Emails Do You Get With Google Workspace?

In the digital age, email remains a cornerstone of professional communication, with Google Workspace serving as a widely adopted platform for businesses and organisations. To maintain the reliability, security, and abuse prevention within its ecosystem, Google Workspace implements specific email limits governing the number of emails sent, the size of messages, and the number of recipients per email. These constraints are key for protecting users from spam, managing server loads, and enhancing deliverability.

One of the primary limitations in Google Workspace is the daily email sending limit, which typically caps users at around 2,000 emails per day for most plans. In contrast, standard Gmail accounts have a lower threshold of approximately 500 emails per day. This restriction applies not only to direct emails but also to automated communications such as Google Meet invitations and calendar notifications, reflecting a comprehensive approach to email activity management. The rationale behind this cap is multifaceted.

Google Workspace imposes recipient limits both per message and daily to further control email flow and prevent spam outbreaks. Each email sent within Workspace can include up to 500 recipients across the ‘To’, ‘Cc’, and ‘Bcc’ fields; there is a broader limitation of 10,000 recipients per day across all emails sent by a user. Importantly, Google counts every email address listed on these fields as a unique recipient for each message sent, meaning a single email sent to 100 recipients counts as 100 emails towards the daily limit. This counting method has practical implications for users managing large email lists, as sending 10 emails to 30 people tallies up to 300 recipients in Google’s system.

Exceeding the established limits results in immediate consequences, including account suspension from sending emails, which manifests via error messages like “550 5.4.5 Daily sending quota exceeded”. This 24-hour suspension period impedes outgoing communication and can severely impact business operations reliant on timely email outreach. Persistent violations carry the risk of degraded sender reputation, increasing the likelihood that messages will be filtered into recipients’ spam folders or blocked entirely.

What Are Google Workspace Email Limits?

The maximum number of emails you can send, their maximum size, and the maximum number of recipients you can include in a single message are all governed by Google Workspace email constraints. The purpose of these limitations is to ensure that the service remains reliable, secure, and unabused. Let’s take a closer look at the many types of email restrictions you can run against.

Types of Email Limits in Google Workspace

To ensure effective communication within your team or company, it is essential to comprehend the different email limits in Google Workspace. There are various kinds of restrictions to be mindful of:

 Daily Sending Limits

  • The number of emails you can send with Google Workspace is limited to one per day. For the majority of plans, this restriction is around 2,000 emails per day. Standard Google accounts (Gmail) have a daily restriction of about 500 emails, which is typically much lower.
  • The purpose of this cap is to prevent spam and ensure that the service remains reliable for all users. It’s important to keep in mind that the daily sending limit applies to both direct emails and emails sent using Google Workspace’s email services, such as Google Meet invites or calendar notifications.

 Message Size Limits

  • The message size restriction is an additional important limit to consider. This is the maximum email size, including attachments. A single email on Google Workspace can only be 25 MB in size. That may seem like a lot, but if you typically transfer huge files, you should share them via Google Drive rather than email.

Recipient Limits

  • Google Workspace restricts how many people you can email at once. This is an additional method of preventing spam. For the majority of Google Workspace accounts, an email can have up to 500 recipients. All email addresses in the “To,” “Cc,” and “Bcc” boxes are included in this limit.

Attachment Limits

  • As mentioned earlier, emails with attachments are subject to the 25 MB size limit. However, Google would suggest sharing the attachment through Google Drive if it is larger than that. Even while Google Drive allows you to share much larger files, you still need to keep in mind that the total size of your email, including the attachment, cannot exceed 25 MB.

What is the Maximum Number of Recipients in Gmail Per Day?

The daily email sending limit for Gmail and Google Workspace trial accounts is 500 emails. There is a daily sending cap of 2000 emails per user account with a Google Workspace premium subscription.

Aside from the daily sending cap, there are a few minor distinctions between Google Workspace and a Gmail account. Let’s examine it closely to gain a better understanding:

Gmail Free Account

  • Gmail email sending limit per day: 500 recipients or emails
  • The free Gmail account allows you 500 emails or recipients, which implies the maximum number of people you can reach out to in a day is limited to 500. It means you can send a single email to 500 recipients or 5 emails to 100 recipients each.
  • The transmitting limit is enforced over a rolling 24-hour period rather than being set apart by a particular time of day.

 Google Workspace Account (G Suite)

  • Email sending limit per day: 2000
  • Recipient limit per day: 10000
  • Every email sent in Google Workspace (G Suite) takes into account each unique email address. This implies that sending 10 emails to 30 individuals each will count as reaching 300 recipients.
  • Even though G Suite has a 10,000 email restriction per day, you cannot send emails to the remaining 8,000 recipients in the same day if you send 2,000 emails to 2,000 recipients. You can send 2000 emails to five recipients each, utilising the “CC” and “BCC” sections to get around the sending limit and reach all 10,000 recipients.
  • Important Information: Every email address that is typed into the “To,” “CC,” and “BCC” sections is counted as a separate recipient for each message.
  • Not just email sending limits, there are attachment and file size limits in Gmail as well. You can send attachments up to 25 MB in total. If your files exceed this limit, Gmail will provide a Google Drive link instead of including them as attachments.
  • If you exceed the daily cold email sending limit on Gmail, your Gmail account may get suspended from sending emails for 24 hours. This suspension occurs with a specific error message that reads, “550 5.4.5 Daily sending quota exceeded.”
  • During this suspension, you won’t be able to send any emails from your Gmail account, and any attempts to do so will result in the error message mentioned above.

Can I migrate my existing email to Google Workspace?
